Invoice audit guide for Amazon authenticity and supplier verification cases.

Invoices are often the center of authenticity, counterfeit, restricted product, Section 3, and unsuitable inventory reviews. This guide helps sellers organize genuine documents before appeal submission.

Strong invoice patterns

  • Supplier legal name, address, phone/email, and website are visible
  • Buyer name and address match the seller business or explain the legitimate difference
  • Invoice date is appropriate for purchase and marketplace request
  • Product names, SKUs, model numbers, quantities, and brand details map to the ASINs
  • Payment, shipment, receiving, or purchase records can support the transaction

Weak or risky patterns

  • Receipts instead of invoices for wholesale/source verification cases
  • Supplier cannot be contacted or verified
  • Buyer details do not match the Amazon selling entity
  • Products are described too vaguely to match ASINs
  • Scanned, cropped, highlighted, edited, or backdated documents

How we review invoice packets

We do not “fix” invoices. We inspect the packet the way a reviewer may read it: identity, traceability, product match, supplier verification, inventory quantity, and whether the appeal explains any legitimate mismatch.

Keep originalsUse original PDFs or scans. Add explanations in separate notes, not by changing the invoice.
Verify supplierMake sure supplier contact details are real and consistent with the invoice.
